
Terms and Conditions for CND Siena 2011 Participants
1. Event profile: 1.1. • Country: Italy• Date: 1st-4th 2011 • Venue: University of Siena, Siena • Accommodation: Hotel Moderno, Siena • Event website: • Organizer: ESN Siena GES • Participation fee: 100 EUR for NR, Vice-NR, National Delegates, International Board (Registration Deadline 7th November– payment received on/before 14th November 2011; 110 EUR for Guests (First Round Registration Deadline 1st November 2011, payment received on/before 8th november 2011); 120 EUR for Guests (Second Round Registration Deadline 14th November 2011 payment received on/before 21th november 2011).
1.2. In these conditions: • “CND Siena 2011” or “Event” or “CND” is that organized by the Organizer in the country specified in the Event profile; • “The Venue” is as defined in the Event profile; • “The Accommodation” is as defined in the Event profile. • “The Participant” is the person having applied to attend CND Siena 2011 • “Erasmus Student Network AISBL” is an organization registered under Belgian law, also referred as “ESN International”.
2. CND participation criteria 2.1.In order to be eligible to participate in CND the applicant must fulfill the following criteria: • be an ESN International Board member; or • be a National Representative or Vice-National Representative of ESN country or • be a National Delegates (2 places per country), as defined by each ESN National Board; or • be invited as a guest by the ESN International bodies or the organizer 2.2. The priority participation for the Event belongs to: 1 Members of ESN International Board; 2 National Representative or Vice-National Representative of each ESN Country, as defined by ESN National Boards or ESN International; 3 National Delegates (2 per ESN Country) as defined by ESN National Boards; 4 Guests by the ESN International bodies or the organizer • 2.3. Other applicants not mentioned in 2.2. do not have priority and in case of number of applicants exceeding the available places, the organizer reserves explicit right to distribute the places based on fair and equal geographic representation of ESN network.
3. Accommodation, travel and freight 3.1. The Organizer is responsible for accommodation, catering (3 meals a day) and transportation during the Event. 3.2. Freight and international or domestic travel costs to or from the Event are to be borne by the Participants. 3.3. The Organizer is not responsible for any extra costs incurred for the participants during the Event.
4. Changes to program 4.1. The Organizer reserves the right to modify the CND scheduled program without prior notice, in order to ensure the best conditions for the plenaries.
5. Cancellation of participation 5.1. Notice of a Participant’s withdrawal must be supplied in writing to the Organizer (see Event Registration). If the Participant withdraws within the period of registration to the event (see the event website), the Participant is entitled to full refund of participation fee.
6. Regulations on loss or damage 6.1. Loss or damage to Participant’s property: The Organizer will not accept any liability for the damage, theft or loss of any Participant’s property in any circumstances. The Participant is responsible for taking out adequate insurance and adequate measures to protect his/her property. 6.2. Loss or damage caused by a Participant: The Participant will indemnify the organizer against: all actions, claims, suits, costs, expenses, demands (whether in respect of damage to property, personal injury or otherwise and including all legal costs and other expenses suffered or incurred by the organizer) which any person may bring or claim arising from and out of the use of the Venue by the Participant, its employees, servants, contractors and invitees; loss and damage to the Venue and to any property therein arising out of the use of Venue by the Participant, its employees, servants, contractors or invitees and in particular but without prejudice to the generality of the foregoing caused by the use or misuse of water, gas or electricity.
7. Personal accidents 7.1. The Participant must occupy and use the Venue and the space there allocated to it at its own risk and neither the owner nor the Organizer accepts any liability for any accident, damage or injuries suffered at the Venue by the Participant, its servants, agents, contractors, invitees, members of the public, or any person whatsoever.
8. Disclaimer 8.1. The Organizer accepts no liability for loss or damage suffered by the Participant and caused by: • the failure of any service or amenities which the Organizer is responsible for providing; • the failure of any service or amenities to be provided by the Event contractors; • cancellation or suspension of the Event due to force majeure, including war, earthquake, adverse weather, strikes or by reason beyond the Organizer’s control. 8.2. The Organizer accepts no responsibility whatsoever for licensing matters, customs duties, import charges, taxes, the delivery of visas or Participants’ travel arrangements.
9. Use of Venue and Accommodation 9.1. The Venue and the Accommodation shall not be used for any illegal or immoral purpose. All goods and property brought into the Venue are brought in at the owner’s risk. Smoking is only allowed in the Venue’s or the Accommodation’s designated smoking areas (if any).
10. Disputes 10.1. Should the Participant and the Organizer be in dispute on the meaning or interpretation of any of the terms of this agreement, including failure to agree on an event of force majeure, the matter will be referred to the courts of Republic of Italy.
11. Termination of agreement 11.1. The Organizer is entitled to terminate without notice their agreement with a Participant if: • the Participant commits any breach of, or fails to observe, any of the conditions or regulations set out in these terms and conditions; • the Organizer, in their sole and absolute discretion, decide that the agreement shall be terminated due to other serious reasons (e.g. misbehavior of participant, disturbance of the Event, etc.). 11.2. In the case described in 11.1, the Organizer retains its right not to refund the participation fee.
12. Privacy Policy 12.1.This Privacy Policy sets out the data processing practices carried out through the use of the Internet and the website www.gruppoerasmussiena.it. If you have any requests concerning your personal information, any queries with regard to these practices or if you wish to modify or to remove your personal data, please contact us at cndsiena2011@gmail.com 12.2. We collect personal information through the registration process only. 12.3. We do not sell trade or rent your personal information to third parties. 12.4. We will only disclose personal information to our partners and to other organisms related to the event you register to, and to the suppliers we engage to process data on our behalf. 12.5. Given that the Internet is a global environment, using the Internet to collect and process personal data necessarily involves the transmission of data on an international basis. Therefore, by making an online registration on the CND website and by communicating electronically with us, you acknowledge and agree to our processing of personal data in this way.
13. Governing law By submitting the application to participate at CND, the Participant agrees to these Terms and Conditions. The mutual rights and obligations residing in this contractual relationship shall be interpreted in accordance with the laws of Republic of Italy. Should any of the above conditions be or become null and void, the other conditions shall continue to be valid.
